Clinics & small healthcare

Front-desk tablets and staff phones that would pass an audit.

Small clinics, dental practices and therapy offices use NounDesk to keep front-desk tablets and staff Android phones encrypted, locked with a strong screen-lock rule, patched on schedule, and erasable with a typed confirmation if lost. The audit log and compliance reports export as CSV for reviews. The Maximum Security template is the recommended starting point.

The situation

A small practice has a receptionist, a handful of clinicians, a check-in tablet and no IT department. The devices hold appointment details and sometimes more. A reviewer, an insurer or a partner hospital will eventually ask how those devices are protected.

What NounDesk does for a clinic

Encryption and a real screen lock

The Maximum Security policy requires a strong password, encrypts storage, blocks USB data transfer, and erases the device after repeated failed unlocks.

Patches on a schedule you can show

System updates run in a nightly window and security patches are never delayed. The patch-age report shows how current the fleet is.

Lost device, contained

Lost mode locks the device and shows the front-desk number. Erase requires a typed confirmation and keeps factory-reset protection.

Evidence, not assurances

The audit log records every administrator action. Reports and the device inventory export as CSV for a compliance review.

Check-in tablet as a kiosk

Lock the front-desk tablet to your intake form with kiosk mode, so patients see the form and nothing else.

Front-desk staff get the right access

Give the practice manager Admin and front-desk staff the Operator role. They can lock a device or reset a password, but cannot erase it or change the policy. See team roles.

Why clinics pick NounDesk

Plain-English settings the practice manager can own, controls that map to what reviewers ask for, and a privacy stance that is easy to explain to staff: no monitoring of calls, messages or browsing. Read the security and privacy page for the full statement.

A small practice's mobile devices sit between the front desk and the exam room: appointment lists, secure messages, sometimes a photo for the chart. A reviewer or insurer will ask how they are protected. NounDesk turns that question into settings you can show and reports you can export.

How a rollout works for a 9-device practice

A typical small clinic, dental or therapy practice runs 4 to 12 devices: clinicians' phones, a tablet or two at the front desk and a check-in tablet in the waiting room.

  • 1. Maximum Security for staff devices

Strong password, encryption, USB data transfer and screenshots blocked, and erase after repeated failed unlocks.

  • 2. Kiosk for the waiting room

Lock the check-in tablet to your intake form or its web address, with the Home button off and the screen awake while docked.

  • 3. Practice apps, Required

Add your practice, secure messaging and authenticator apps from managed Google Play. If a vendor gave you its own app file, publish it privately to your devices.

  • 4. Roles before go-live

Practice manager as Admin, front desk as Operator, and an outside reviewer as Viewer with read-only access.

What 9 devices cost

A practice with 6 staff phones, 2 front-desk tablets and a check-in kiosk: 9 devices × $1.50 = $13.50 a month.

  • Audit evidence included

The audit log, CSV exports and Device Trust ratings are in the same $1.50 as everything else.

  • No minimum

A practice with 4 devices pays for 4. No tiers and no annual contract.

  • Try it on every device first

The 14-day free trial covers up to 50 devices and needs no card.

Common situations

What happens when…

The situations that actually come up, and what you do about each one.

A staff phone is left in a taxi

Lost mode locks it and shows the practice number. Because your policy required a strong password and encryption, the appointment details on it are unreadable. If it is not returned, erase it and record the decision; the audit log is your evidence that you acted.

An insurer asks how your mobile devices are protected

Download the compliance overview and the patch-age report as CSV, plus the device inventory. They show encryption, screen-lock enforcement, patch currency and the ability to erase remotely. That is most of a mobile-device questionnaire answered from one page.

Patients keep leaving the check-in tablet on a settings screen

Put it in kiosk mode locked to your intake form, with settings blocked and the Home button off. The tablet shows the form, the next patient sees the form, and nobody wanders.

A clinician replaces their phone

Enroll the new one from the same profile, assign it to them, and retire the old device. Their required apps install automatically. The old phone's record stays in the log with the date it was retired.

Clinics & small healthcare: questions answered

Does NounDesk make my practice HIPAA compliant?

No single tool does. NounDesk gives you controls that compliance frameworks expect on mobile devices: encryption, screen lock, patching, remote erase and an audit log, and it exports the evidence. Your policies, training and other systems complete the picture.

Is patient data visible to NounDesk?

No. NounDesk collects device identity, hardware and OS details, installed managed apps and compliance state. It does not see the content of apps, messages or files.

Can the check-in tablet be locked to the intake form?

Yes. Use kiosk mode to lock the tablet to your intake app or web form, with settings blocked and the screen kept awake.

Can staff use their personal phones?

Not with NounDesk today. It manages company-owned Android 8 or newer devices only, enrolled from a factory reset. Personal phones and work profiles are not supported, so give staff who handle patient details a practice-owned phone.

How do I show a phone is healthy before a review?

Each phone gets a Device Trust rating from 10 automatic checks, such as screen lock, encryption and a security update under 90 days old. It updates every time the phone checks in, and the reports export as CSV.

Ten phones. Ten minutes. Protected.
