Company documentsNew

The right documents in the right hands.

Company documents is NounDesk's mobile content management (MCM) feature. You share handbooks, safety sheets, price lists and forms with everyone, a device group or named employees. Employees open them in the Company documents app on their work phone after signing in with a one-time code sent to their work email. Every open is recorded, so you can see who opened which document and when. Documents open on the device after sign-in, so share each one only with the people who need it.

How do I share documents with employees' phones?

Upload the file in NounDesk and pick who gets it. The handbook goes to everyone, the safety sheet to the field crew, the new price list to two salespeople.

  • Share with everyone, a device group or named employees.
  • Handbooks, safety sheets, price lists and forms.
  • Only the people you choose see the document.

How employees open them

Employees open the Company documents app and sign in with a one-time code sent to their work email. No password to remember.

  • The code goes to the employee's work email.
  • Documents open on the device after sign-in.
  • Each person sees only what was shared with them.

See who opened what, and when

Every open is recorded. When a supervisor asks whether the new starter has read the safety sheet, you can check instead of guessing.

  • The document, the employee and the time, for every open.
  • Useful for safety briefings and policy updates.
  • One place to check, rather than a dozen text threads.

A new hire's first morning

Sam starts on Monday. By the time he reaches the first job he has the handbook and the ladder safety sheet on his work phone, and you know he opened them.

  • Put Sam's phone in the Field crew group and the crew's documents are there.
  • He signs in with the code sent to his work email.
  • His opens are recorded like everyone else's.

The safety handbook is in a binder in the office. The price list changed last week but half the team still has the old one in a text thread. Company documents puts the current version on the phones of the people who need it, and tells you who has actually opened it.

What to put in Company documents

The files people ask for most, on the phone they already carry.

  • Employee handbook

    One version, shared with everyone.

  • Safety sheets

For the crews who climb ladders and handle chemicals.

  • Price lists

The current one, not last month's.

  • Forms

Job sheets and checklists, on hand at every job.

Company documents: questions answered

What is mobile content management?

Mobile content management (MCM) means getting work files onto work phones and controlling who gets them. In NounDesk it is called Company documents, and it shares files with everyone, a device group or named employees.

How do employees open company documents?

In the Company documents app on their work phone. They sign in with a one-time code sent to their work email, and the documents shared with them open on the device after sign-in.

Who can see when a document was opened?

You can, in NounDesk. Every open is recorded with the document, the employee and the time, for example "Safety sheet, opened by Maria, Tue 08:12".

Can I share a document with just one team?

Yes. Share with everyone, with a device group such as Field crew, or with named employees. Only those people see it in the app.

Can employees copy or forward a document?

Company documents controls who a document is shared with and records every open; it does not promise a file can never leave the phone. Documents open on the device after sign-in, so share sensitive files only with the people who need them. For phones with sensitive files, the data protection settings in the security policy can block screenshots, printing and USB file transfer.
